Email templates in candidate.fyi streamline the process of communicating with candidates, ensuring consistency, and saving time during the scheduling process. This guide will walk you through creating and customizing email templates for various purposes within the candidate.fyi platform.

Step-by-Step Guide to Creating Email Templates

Step 1: Navigate to Email Template Setup

  1. Log in to your candidate.fyi account.

  2. Go to Scheduling on the side nav

  3. Click on Email Templates under Setup to view and manage your email templates.

Step 2: Create a New Email Template

  • Once in the Email Templates section, click on the "New +" button to start creating a new template.

Step 3: Customize Your Email Template

When creating a new email template, you will be presented with several fields to customize:

  • Name: Assign a name to your email template. This name is used to identify the template within the candidate.fyi platform and should be descriptive of its purpose.

  • Purpose: Specify what the template is used for. Designating a purpose helps in automating the selection of this template for certain communications. Note that certain purposes allow a template to become the default for those specific communications, streamlining the process further by auto-selecting this template when reaching out to candidates.

  • Subject: Enter the subject line of the email. This is what the candidates will see first, so it should be clear and pertinent to the content of the email. candidate.fyi also allows the use of tokens in the subject line, enabling personalization based on the candidate's information or scheduling details.

  • Body: Craft the content of your email in the body section. Here, you have the flexibility to format the text and include various options such as links, formatting styles, and, importantly, tokens. Tokens can be used to automatically insert specific information such as the candidate's name, interview date, and time, or any other relevant details, making each email personalized and relevant to the recipient.

Step 4: Save Your Template

  • After customizing your email template, ensure you save your changes. This action will add the template to your repository of email templates, ready for use in future scheduling communications.

Utilizing Email Templates During Scheduling

When scheduling an interview or sending any communication to a candidate, you will have the option to select from your saved email templates. Choosing an appropriate template will auto-populate the email's subject and body, which you can then further customize for each specific instance if needed.
