Scheduling requests are pivotal in managing and coordinating interviews within candidate.fyi. They come in two varieties: self-scheduling and availability-based scheduling, offering flexibility in how candidates and teams arrange interviews. This document outlines the process for creating, viewing, and managing scheduling requests.

Overview of Scheduling Requests

  • Self-Scheduling: Candidates directly choose their interview time based on available slots.

  • Availability-Based Scheduling: Candidates enter their available times, and the recruiting team books the interview using a facilitated booking flow.

Each scheduling request is tied to a Round, serving as a template for initial settings which can then be customized.

Creating Scheduling Requests

Scheduling requests can be initiated in two ways:

  1. Directly via ATS (Applicant Tracking System) with Chrome Extension:

    • On a candidate's profile within your ATS, you'll find an option to create a scheduling request directly. This method streamlines the process, allowing for quick action while reviewing candidate details.

  2. From the Round:

    • Scheduling requests can also be generated from an existing Round. This option provides the flexibility to select a candidate and tailor the request based on the specific Round's settings.

Viewing Scheduling Requests

Once created, scheduling requests can be accessed and managed through different views:

  • My Requests: Displays all requests where you are listed as the request owner. This view helps you track and manage your active scheduling responsibilities.

  • Unassigned: Shows all active requests that have not yet been assigned to a team member. This view is crucial for ensuring no request goes overlooked and is promptly addressed.

  • All Active: Includes all ongoing scheduling requests across the team, offering a comprehensive overview of all scheduling activities.

  • Archived: Contains requests that have been archived, either manually by a team member or automatically by the system 24 hours after the last interview.

Important Notes

  • Multiple Interviews: If a scheduling request involves multiple interviews, the availability-based scheduling type is required to accommodate the complexity of coordinating several time slots.

  • Archiving Requests: Scheduling requests can be archived manually to organize and clean up the active requests list. Additionally, the system automatically archives requests 24 hours post the final interview to maintain an up-to-date and manageable scheduling overview.
